Student Guide Australia is seeking a diligent Migration Case Coordinator to support the processing and administration of migration and visa applications. The role focuses on organising client files, preparing application documentation, and ensuring compliance with Australian immigration regulations within a dynamic and fast-paced environment. The ideal candidate exhibits strong organisational capabilities, meticulous attention to detail, and effective communication skills to manage client interactions and facilitate collaboration among internal teams and external partners.
This position requires handling sensitive client data accurately, tracking application progress, and providing administrative support such as appointment scheduling and record keeping. While the role does not involve managing a team, it plays a crucial part in supporting Education Consultants and Migration Agents by preparing case summaries, supporting materials, and managing critical workflow tasks to ensure timely and compliant visa processing.
Responsibilities
- Manage and organise client files, documentation, checklists, and supporting evidence for migration and visa applications.
- Assist in preparing visa applications by collating required documents, completing application forms, updating immigration portals, and verifying compliance with visa requirements.
- Maintain strict adherence to Australian immigration guidelines, internal standard operating procedures, and documentation standards.
- Monitor email inboxes, respond promptly to client queries, and coordinate communication among clients, educational institutes, and internal teams.
- Track application progress within customer relationship management systems and ensure submission deadlines are met for all visa applications.
- Review client information for accuracy, completeness, and compliance with the specific criteria of migration and student visas.
- Prepare case summaries, cover letters, checklists, and draft documents to support Education Consultants and Migration Agents in case preparation.
- Assist with the preparation of offer letters, Genuine Temporary Entrant (GTE) and Genuine Student (GS) statements, statements of purpose (SOPs), and other related educational documents as required.
- Liaise with external institutions, government portals such as ImmiAccount and PRISMS, and education institute portals to obtain necessary information and updates.
- Ensure the confidential handling, secure storage, and precise management of client data across all digital platforms.
- Support the migration team in upholding compliance policies, maintaining accurate records, and processing internal documentation.
- Assist with scheduling meetings, managing calendars, and coordinating internal workflow tasks to support productivity and team collaboration.
- Adapt promptly to changes in immigration policies and procedures, utilizing problem-solving skills to address challenges and maintain process integrity.
- Work independently while collaborating effectively with team members to meet application goals and client service standards.
