About the Role
We are seeking a highly organized and detail-oriented
Project Management Assistant
to support our Project Management team in a fast-paced restoration environment. This role is ideal for an administrative professional who enjoys coordinating multiple priorities, maintaining accurate project documentation, and supporting project teams to ensure successful project delivery.
The successful candidate will play a key role in project administration, data management, scheduling, and client communication while helping keep projects organized and on track.
Key Responsibilities
- Provide administrative support to Project Managers and Operations teams.
- Complete accurate data entry and maintain project records and documentation.
- Create, update, and manage project files, reports, and correspondence.
- Assist with project scheduling, coordination, and tracking of project milestones.
- Prepare project-related documents, spreadsheets, and presentations.
- Manage incoming project information and ensure documentation is organized and up to date.
- Support invoicing, change orders, purchase orders, and project closeout documentation.
- Communicate with clients, subcontractors, and internal stakeholders as required.
- Monitor project timelines and follow up on outstanding items.
- Maintain accurate records within internal software systems.
- Assist with various office administration and project coordination duties as needed.
Qualifications
- 3-5 years of experience in an administrative, project coordination, or project assistant role.
- Previous experience supporting construction, restoration, property services, or project-based environments is considered an asset.
- Exceptional organizational and time-management skills.
- Strong attention to detail with a high degree of accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong customer service and interpersonal skills.
- Ability to work independently while also supporting a collaborative team environment.
Technical Skills
- Advanced proficiency with Microsoft Office Suite, particularly: Excel, Word, Outlook, Teams, SharePoint
- Experience with project management or restoration software is an asset.
- Exposure to

is considered an asset; training will be provided.
