Job Title: Office Manager

Industry: Hospitality \& Entertainment

Location: Dubai, UAE

Salary: Up to AED 10,000 per month, all-inclusive

Reporting To: Senior Management

Position Summary

We are seeking an experienced and highly organised Office Manager to oversee the day-to-day administrative and operational requirements of the office.

The successful candidate will ensure the smooth functioning of office activities, coordinate with internal departments and external stakeholders, manage administrative processes, and provide professional support to senior management.

The ideal candidate should have strong organisational skills, excellent communication abilities, attention to detail, and previous experience within the hospitality, entertainment, leisure, or related industry.

Key Responsibilities

Office Administration

  • Manage the daily operations of the office and ensure a professional and well-organised working environment.
  • Coordinate office schedules, meetings, appointments, and administrative activities.
  • Maintain organised digital and physical filing systems.
  • Manage official correspondence, documents, reports, and confidential records.
  • Ensure office policies and administrative procedures are followed.
  • Monitor office requirements and resolve operational issues promptly.

Management Support

  • Provide administrative and coordination support to senior management.
  • Manage calendars, meetings, appointments, and business schedules.
  • Prepare meeting agendas, presentations, reports, and supporting documents.
  • Record accurate meeting minutes and follow up on agreed action points.
  • Draft professional emails, letters, memos, and internal communications.
  • Handle sensitive and confidential information with discretion.

Stakeholder Coordination

  • Act as a key point of contact for internal departments, suppliers, contractors, consultants, and external stakeholders.
  • Coordinate meetings and communication between management and relevant departments.
  • Follow up on pending approvals, documents, proposals, and action items.
  • Maintain professional relationships with external service providers and business partners.
  • Ensure all requests and communications are handled promptly and professionally.

Office Operations

  • Oversee office supplies, equipment, maintenance, and service requirements.
  • Coordinate meeting rooms, visitor arrangements, business cards, access requests, and office logistics.
  • Liaise with building management, IT support, maintenance providers, and other vendors.
  • Ensure the office remains clean, safe, professional, and fully operational.
  • Assist with onboarding arrangements and workstation preparation for new employees.

Finance and Documentation

  • Coordinate purchase requests, invoices, petty cash, expense claims, and supporting documents.
  • Liaise with the Finance department to ensure timely processing of payments.
  • Maintain accurate records of office expenses and administrative costs.
  • Support budget tracking and vendor quotation comparisons.
  • Ensure documents are complete and properly approved before submission.

Events and Hospitality Support

  • Support the coordination of corporate events, entertainment activities, meetings, launches, and internal functions.
  • Assist with guest arrangements, invitations, venue coordination, and event logistics.
  • Coordinate with hospitality and operations teams to support business requirements.
  • Attend events or functions outside normal working hours when required.

Experience and Qualifications

  • Bachelor’s degree in Business Administration, Management, Hospitality, or a related field is preferred.
  • Minimum of five years of relevant experience in office management, administration, or executive office coordination.
  • Previous experience within hospitality, entertainment, leisure, events, or a related industry is preferred.
  • Experience supporting senior management and coordinating with multiple departments is required.
  • Fluent written and spoken English is required.
  • Candidates should currently be based in the UAE.
