Our client Agay Barho is looking for a Executive Assistant to CEO in Lahore The Executive Assistant to CEO at Agay Barho plays a pivotal role in delivering high\-level administrative and coordination support to the Chief Executive Officer. This position demands astute management of schedules, effective communication handling, and seamless organization of meetings. The role acts as a critical liaison between the CEO, internal teams, and external partners, guaranteeing smooth information flow and operational efficiency while strictly maintaining confidentiality. The ideal candidate possesses strong skills in calendar management, travel coordination, document preparation, and communication management, backed by a minimum of 3 years of relevant experience. This role requires a proactive professional who can anticipate executive needs, manage complex agendas, and ensure that leadership functions operate without interruption. While the position does not involve managing a team, it requires collaboration and coordination across multiple departments to support organizational goals effectively. The role involves versatile Responsibilities including coordinating logistics for key meetings such as strategic sessions and board meetings, drafting and managing correspondence, and organizing travel arrangements. The Executive Assistant must maintain an organized filing system both physically and digitally for sensitive documents, prepare comprehensive reports and presentations, and accurately record and distribute meeting minutes. Strong discretion is paramount given the nature of confidential information handled daily. This position requires excellent communication skills, proficiency in Microsoft Office tools, and the ability to multitask efficiently under pressure. By supporting the CEOs office seamlessly, the Executive Assistant enables leadership to focus on decision\-making and strategic priorities, contributing to the companys continued success. **Responsibilities** * Manage and prioritize the CEOs daily calendar, appointments, and meetings to optimize time and productivity. * Coordinate all internal and external meetings, ensuring preparation of pre\-read materials and clear meeting agendas. * Draft, review, and respond to emails and official correspondence on behalf of the CEO with professionalism and accuracy. * Maintain well\-organized filing systems for confidential and sensitive documents, both physical and electronic. * Prepare detailed presentations, comprehensive reports, and briefing materials for leadership meetings and corporate events. * Arrange and coordinate travel plans including flights, accommodation, visa processing, and related expense reimbursements. * Record accurate minutes during meetings and oversee the timely follow\-up on action items and commitments. * Assist in organizing strategic meetings, board sessions, and leadership retreats with meticulous attention to detail. * Collaborate with departments to obtain necessary data, reports, and updates to support the CEOs decision\-making process. * Serve as the principal point of contact between the CEO and internal stakeholders as well as external partners. * Coordinate closely with Heads of Departments and other key company personnel to streamline communications and workflows. * Handle highly sensitive information with the utmost discretion and confidentiality at all times. * Maintain a professional demeanor and effectively represent the CEO in interactions and communications where required. * Perform additional administrative duties and special projects as assigned by the CEO or executive management. * Utilize excellent verbal and written communication skills to manage multiple demands and complex schedules efficiently. * Demonstrate strong knowledge of Microsoft Office applications to support document creation and data management.
