Our client Agay Barho is looking for a Executive Assistant to CEO \- Administrative Support in Lahore Agay Barho is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO. This role requires exceptional skills in calendar management, travel coordination, meeting planning, and confidential communication to facilitate smooth operations at the executive level. The Executive Assistant will act as a critical liaison between the CEO, internal teams, and external stakeholders, ensuring efficient information flow and timely completion of key tasks. This position demands discretion, professionalism, and the ability to handle multiple Responsibilities in a fast\-paced environment. The ideal candidate will bring at least three years of relevant experience and a strong proficiency in handling executive\-level correspondence and coordination without managing a team. The Executive Assistant is responsible for managing complex schedules, organizing important meetings, and preparing detailed presentations and reports. They maintain organized filing systems for confidential documents and coordinate travel and expense reimbursements seamlessly. This role also involves recording minutes during meetings and ensuring prompt follow\-ups on action items. The successful candidate will ensure that communication between the CEO and various departments is clear and efficient, supporting critical decision\-making processes while maintaining the highest level of confidentiality. **Responsibilities** * Manage and prioritize the CEOs calendar, appointments, and meetings to optimize daily schedules and ensure efficient time use. * Coordinate internal and external meetings, preparing necessary pre\-read materials and agendas to facilitate productive discussions. * Draft, review, and respond to emails and correspondence on behalf of the CEO, maintaining accuracy and professionalism in all communications. * Maintain organized filing systems both physical and digital, ensuring confidential documents are securely stored and easily accessible. * Prepare presentations, reports, and briefing documents to support leadership meetings and strategic planning sessions. * Arrange travel logistics including bookings, visa processing, and expense reimbursements, ensuring seamless travel experiences and compliance with company policies. * Record meeting minutes accurately and circulate them promptly, following up on action items to guarantee completion and accountability. * Assist in organizing strategic meetings, board sessions, and leadership offsites, coordinating logistics and material preparation. * Collaborate with various departments to collect data, reports, and updates as required by the CEO to facilitate informed decision\-making. * Serve as the primary point of contact between the CEO and internal as well as external stakeholders, fostering professional relationships and efficient communication. * Coordinate with heads of departments and other key personnel to streamline information exchange and resolve issues quickly. * Handle sensitive and confidential information with the utmost discretion and professionalism, safeguarding the CEOs interests and company confidentiality. * Maintain a professional demeanor representing the CEO in interactions when necessary, ensuring the companys values and standards are upheld. * Perform additional duties as assigned by management to support the CEO and overall organizational effectiveness.
