**Job Summary**
The
**Senior Admin \& Procurement Coordinator**
is responsible for overseeing administrative operations and procurement activities to support smooth business functions within oil \& gas projects across GCC countries. The role ensures timely purchasing, vendor coordination, logistics management, document control, and compliance with company policies and regional regulations.
**Key Responsibilities**
**Administration**
* Manage daily office administration and operational support activities.
* Coordinate staff travel arrangements including visas, tickets, hotel bookings, and transportation.
* Maintain employee records, contracts, and confidential company documentation.
* Handle correspondence with clients, suppliers, and government authorities.
* Monitor office supplies, accommodation, fleet, and facility management.
* Ensure compliance with company policies and GCC labor regulations.
* Support HR with onboarding, mobilization, and employee documentation.
* Prepare reports, presentations, and management updates.
**Procurement**
* Source materials, equipment, and services for project and operational requirements.
* Obtain quotations and negotiate prices, delivery terms, and payment conditions.
* Issue purchase orders and track order status until delivery.
* Develop and maintain supplier and subcontractor database.
* Coordinate with project teams to ensure timely availability of materials.
* Evaluate supplier performance and maintain cost control.
* Verify invoices and coordinate with finance for payment processing.
* Ensure procurement complies with company procedures and client requirements.
* Handle local and international procurement activities.
* Coordinate import/export documentation and customs clearance when required.
**Coordination**
* Liaise between operations, finance, warehouse, and vendors.
* Monitor procurement schedules to avoid project delays.
* Maintain procurement records and inventory control systems.
* Support tendering and subcontract documentation processes.
**Requirements**
**Education**
* Bachelor’s degree in:
* Business Administration
* Supply Chain Management
* Procurement
* Commerce
* Or related field
**Experience**
* Minimum
**8–12 years**
of experience in:
* Administration
* Procurement
* Oil \& Gas industry
* Minimum
**5 years GCC experience**
* Experience supporting:
* EPC projects
* Shutdown projects
* Maintenance contracts
* Offshore/onshore operations
**Required Skills**
* Strong knowledge of GCC vendor market
