**Job Overview**
We are currently seeking a resourceful and proactive C Level Assistant to manage all executive affairs for the C level team, acting as a high\-level strategic support partner rather than a traditional assistant. This role requires previous managerial experience and the ability to operate with autonomy, maturity, and strong business judgment.
**Responsibilities**
**Administrative Management \& Executive Support:**
* Oversee complex calendar management for the CEO and key C\-level leadership members, ensuring strategic prioritization of meetings, deadlines, and high\-impact initiatives. Anticipate business needs, identify conflicts, and proactively propose solutions before issues arise.
* Coordinate executive itineraries, appointments, travel arrangements, and reservations across business matters, including restaurants, hotels, conferences, and private engagements. Ensure seamless logistics and flawless execution.
* Organize calls, leadership meetings, board\-level discussions, and executive events while ensuring all protocols, briefing materials, and stakeholder expectations are fully aligned—especially when external guests, investors, or strategic partners are involved.
* Facilitate bill payments, executive expense reports, and financial follow\-up in close collaboration with the leadership team and finance, ensuring accuracy, discretion, and efficiency.
* Manage all incoming correspondence via phone, email, fax, and mail, ensuring timely prioritization, follow\-up, and executive decision support where required.
* Develop, optimize, and maintain a robust information management system—both physical and digital—serving as the central operational hub for the leadership team.
* Act as a trusted right hand to the CEO, supporting decision\-making processes, preparing executive summaries, and ensuring critical business matters are tracked to completion.
**Leadership Team Support \& Project Management Officer Responsibilities:**
* Serve as a shared executive resource across the C\-level leadership team, functioning as a Management Officer (PMO) for each executive member.
* Track strategic initiatives, cross\-functional projects, and leadership priorities across departments, ensuring integration, alignment, accountability, and execution against deadlines. Follow\-up proactively with department heads and leadership stakeholders to maintain momentum and visibility.
* Prepare leadership dashboards, project status reports, action trackers, and executive summaries to support decision\-making and ensure transparency across the organization.
* Monitor execution of business\-critical projects, helping leadership identify blockers, escalate issues, and maintain operational discipline across teams.
* Coordinate leadership meetings, executive committees, and strategic planning sessions, ensuring clear agendas, documentation, action items, and follow\-up ownership.
* Support the CEO in cascading priorities across the leadership team and ensuring alignment between strategic direction and day\-to\-day execution.
* Act as a communication bridge between the CEO and senior leadership, ensuring priorities are integrated.
**Office and Event Management:**
* Plan and organize recurrent operational or high\-level meetings, conferences, dinners, offsites, speaking engagements, and executive events, handling all preparations from logistics to stakeholder coordination, note\-taking, and post\-event follow\-up.
* Assist in executive communication tasks, including formatting presentations, reports, leadership updates, and confidential business documentation to the highest professional standards.
* Maintain and continuously develop an extensive contact database comprising vendors, contacts, investors, potential sponsors, strategic partners, and business stakeholders.
* Ensure they operate with exceptional standards of confidentiality, professionalism, discretion, and operational excellence.
**Research and Communication Support:**
* Conduct in\-depth research on various subjects, individuals, companies, industries, and events, delivering concise and actionable reports that support executive decision\-making.
* Prepare briefing documents and executive summaries ahead of important meetings, partnerships, negotiations, or strategic decisions.
* Coordinate and manage the CEO’s coaching client calls, contracts, follow\-up actions, and relationship management with professionalism and discretion.
* Support leadership communication across internal and external stakeholders, ensuring clarity, consistency, and strong executive presence in all interactions.
* Provide strategic administrative support that extends beyond execution into problem\-solving, prioritization, and business judgment.
**Preferred Qualifications:**
* This role requires someone who has previously held managerial responsibilities and is comfortable with highly strategic execution\-focused role with significant business exposure and executive impact.
* Previous experience as a senior level assistant, Project Manager Officer, Chief of Staff or Transformation support role, or senior administrative leadership role for 3–5\+ years, preferably supporting high\-level executives or founders.
* Previous experience as a manager (leading business, projects and teams) is strongly preferred—this role is ideal for someone overqualified for a traditional Assistant position who seeks high executive exposure and influence.
* Impeccable presentation, executive presence, and professionalism.
* Proven ability to manage multiple high\-priority tasks simultaneously with humility, ownership, and exceptional efficiency.
* Strong project management mindset with the ability to track execution, manage stakeholders, and drive accountability across leadership teams.
* Exceptional organizational skills with outstanding attention to detail and strong operational discipline.
* Excellent communication skills, both written and verbal, with a high level of fluency in English.
* High emotional intelligence, discretion, and the ability to navigate confidential and sensitive matters with maturity and sound judgment.
* Flexibility and resilience in handling unforeseen events, last\-minute changes, and fast\-paced executive environments.
* Ability to work independently, think proactively, and serve as a true business partner to the CEO and leadership team, not simply an executor of tasks.
