Job Description
We are looking for an entry\-level accounting specialist to support project\-based financial operations for a construction organization in New York, New York. This contract opportunity with the potential for a permanent role is ideal for someone who wants to build hands\-on experience in project accounting, billing support, and day\-to\-day coordination with vendors and subcontractors. The person in this role will help maintain accurate financial records, organize documentation, and contribute to timely payment and billing activities across active projects.
Responsibilities:
• Prepare and assemble payment documentation for subcontractors, verifying that required contract materials and compliance records are complete before processing payments.
• Gather supporting records needed for monthly client invoicing and requisition submissions, helping ensure documentation is accurate and ready on schedule.
• Support accounts payable and accounts receivable activity for assigned projects by tracking invoices, following up on outstanding items, and coordinating with vendors and subcontractors.
• Assist with billing review processes by checking backup details, helping organize billing packages, and contributing to accurate and timely submissions.
• Review account activity and help identify posting issues, then support corrections through journal entries or accounts payable adjustments as needed.
• Provide organized financial files and supporting documents for internal reviews and external audit requests.
• Maintain effective communication with project teams and corporate staff to keep financial information aligned and issues resolved promptly.
• Carry out additional accounting and administrative assignments as directed by department leadership.
• Entry\-level accounting experience or relevant internship/background in accounting, finance, or project accounting support.
• Working knowledge of accounts payable, accounts receivable, and basic accounting entries.
• Experience assisting with account reconciliations and bank reconciliations.
• Ability to review invoices, payment support, and financial documentation with strong attention to detail.
• Comfortable communicating with subcontractors, vendors, and internal stakeholders with a strong focus on detail.
• Proficiency with standard accounting systems and Microsoft Office tools, particularly Excel.
• Strong organizational skills and the ability to manage multiple deadlines in a fast\-paced construction environment.
