**Purpose of the role**
Lockton are actively hiring a proactive and professional Personal Assistant and Office Executive to support the General Manager and day to day running of the Lockton Abu Dhabi office. This role plays a key part in supporting three core areas of the business: front‑of‑house services, office and facilities coordination, and administrative and diary support for the General Manager. This is a great role for someone organised, people‑oriented, and eager to learn.
**Your Responsibilities**
**Administration \& Personal Assistant**
* Provide calendar coordination, meeting support, and travel bookings for the General Manager.
* Arrange meeting logistics: rooms, video calls, agendas, and materials.
* Assist with booking flights, hotels, transportation, and itineraries.
* Maintain accurate records of documentation in strict confidence.
* Process expenses and invoices as required.
* Liaise professionally with internal teams, clients, and external partners.
* Maintain confidentiality and handle sensitive information with discretion.
* Filter and prioritize incoming issues, correspondence, and requests, determining the appropriate course of action.
* Prepare executive briefing notes, business updates, and presentations for external meetings and strategic engagements.
**Front\-of\-House \& Reception**
* Support in front\-of\-house and reception responsibilities.
* Support associates in social and professional occasions.
* Support the business in organising flight accommodation, and hotel accommodations and lunch arrangements.
* Manage and keep record of office keys, access cards and parking spaces for all stakeholders (associates, clients and partners).
**Facilities \& Office Operations**
* Support the Facilities Manager in logging and coordinating facilities requests (repairs, maintenance etc).
* Support on health and safety basics for the Abu Dhabi office: evacuation drills, first aid kits and fire extinguishers are maintained, and the relevant stakeholders are informed.
* Maintain asset records, including access cards, stationery and office supplies.
* Report facilities concern to the facilities manager in a timely manner, ensuring accurate details are given and actions are followed up on.
* Organize and accompany contractor visits.
**Required Qualifications**
* 1 to 2 years’ experience in a varied administrative support role.
* Experience working within a busy corporate environment and managing multiple deadlines.
* Experience handling confidential information with discretion.
* Exceptional organisation, attention to detail and follow\-through skills.
* Strong verbal and written communication skills with a warm and professional demeanour.
