This position ensures regulatory compliance with Personal Health Information (PHI) standards, manages the organization and flow of confidential information, and provides high\-level administrative and project coordination support. The Program Assistant acts as a central figure in aligning Home Care program initiatives with organizational goals and contributes to the success of strategic projects and operational activities. This role embodies the mission and values of St. Joseph’s Health Centre Guelph (SJHCG), fostering collaboration with external partners such as the Guelph\-Wellington Ontario Health Team (GW OHT) and Community Care services. **Key Accountabilities** * Assist with responding to privacy\-related inquiries and concerns from employees and external stakeholders for the Home Care program. * Support privacy audits and assessments by gathering required documentation and tracking compliance measures. * Coordinates privacy breach investigations, compiles briefing notes, and drafts resolutions that align with regulatory standards and organizational policies. * Provide support with timely reporting to appropriate authorities and stakeholders. * Manages the secure access and maintenance of confidential PHI files for external partners. * Aligns Home Care program activities with the strategic objectives of SJHCG and GW OHT * Conducts research and prepares briefing materials to inform decision\-making. * Crafts executive\-level reports, presentations, and communications to support stakeholder engagement. * Plans and oversees cross\-departmental projects, ensuring timelines and deliverables meet organizational priorities. * Facilitates collaboration across functional teams to achieve project objectives. * Tracks and ensures the timely submission of datasets and compliance reporting requirements. * Prepares and reviews documents to ensure accuracy and adherence to organizational policies. * Drafts correspondence, meeting agendas, and minutes, following through on action items to completion. * Maintains the professional image of the Home Care program through consistent standards and practices. * Serves as the central point of contact for Home Care program committees. * Prepares comprehensive meeting packages and coordinates follow\-up activities. * Promotes a culture that encourages innovation and supports change using leadership theory. * Identifies opportunities for process improvement within administrative and project workflows. **Qualifications \& Experience** * College diploma in Business, Health Information Management, or a related discipline; baccalaureate degree preferred. * Minimum of three (3\) years of related administrative experience; healthcare environment preferred. * Strong knowledge of the Personal Health Information Privacy Act and its application in healthcare settings. * Proven experience in project coordination, with a demonstrated ability to manage multiple priorities concurrently. * Strong analytical, conceptual, and problem\-solving skills. * Proficiency with Microsoft 365 applications, including Teams, Word, PowerPoint, Outlook, and intermediate Excel skills. * Exceptional written and verbal communication skills, with the ability to create executive\-level documents. * Strong interpersonal skills, including diplomacy, discretion, and the ability to build and manage relationships with stakeholders. * Highly self\-motivated, with a track record of taking initiative and demonstrating professional enthusiasm. * Excellent time management and organizational skills, with meticulous attention to detail. **Application Instructions** To apply to this exciting opportunity, please submit your resume and cover letter highlighting how your skills, experience and strengths meet the requirements of this role and support the values of St. Joseph's Health Centre Guelph here: External Opportunities \- St. Joseph's Health Centre Guelph **Disclaimers** St. Joseph’s Health Centre Guelph is an equal opportunity employer and strives for equity, inclusiveness, and diversity in all programs, facilities, and people.
