Job Description

The Project Coordinator supports project managers by overseeing administrative tasks, ensuring resource availability for the project team. This role will primarily handle administrative tasks for the project manager and team members to keep the project running smoothly, such as ordering equipment and supplies, managing deadlines and workflow, and scheduling meetings and appointments. The primary duties include coordinating schedules, estimating and predicting budgets and preparing project reports. **Essential Functions** * Preparation of quote in Navision with GP% provided by Sales Manager * Monitoring and maintaining job data in Navision (JPR, shipment quantities \& dates, etc.) with the guidance of Sales Manager and Project Manager including entering new orders, posting secured orders and closing orders. * Sending quotes, proposals and standard terms and conditions to customers and following up on progress with customers. * Maintenance of all documentation in the job file and forward appropriate documentation to customer and/ or vendor, as needed * Verification of DYWIDAG Standard Terms and Conditions on all new orders with attention to any negotiated items per the Sales Manager’s discretion * Responsible for processing of credit application with A/R Department for new customers, lien waivers and/ or credit memos after approval and generating and processing invoices. * Coordination of equipment needs and entry of data in equipment database. * Coordination of necessary fabrication and shipping materials per job requirements. * Coordinating material due dates in Navision. * Responsible for coordinating with purchasing department and/ or buyers on any outstanding purchase orders. * Identification of issues such as cost overruns and coordination with Project Manager and resolving any material or equipment shipment related issues. * Review of aging receivable reports. * Input material purchases in the system and forward proper documentation to Accounts Payable for processing and payment. * Creation of job files and pick tickets for the required materials and coordination with warehouse personnel on any material certification requirements and with outside vendor P.O.'s * Creation and utilization of job task codes for material shipment and labor tracking. * Payroll file creation from the contract for certified payroll and offer support of the process. * Assist Project Managers with freight and customs documentation. * Support travel assignments, as needed by scheduling arrangements. * Freight/logistics, local/international, North America cross border operations * Import/export operations * Other duties as assigned. **Required Education And Experience** * Bachelor’s degree required. * Master’s degree in related field preferred; or equivalent experience in an administrative role. * ERP systems experience preferred Competencies * Excellent verbal and written communication skills. * Excellent interpersonal and customer service skills. * Proficient in Microsoft Office Suite or related software. * Excellent organizational skills and attention to detail. * Ability to work effectively both independently and as part of a team. * Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. * Ability to apply concepts of basic algebra and geometry. Travel Requirements * None Physical Demands * Prolonged periods of sitting, standing, laptop use, etc. * Must be able to lift up to 15 lbs.
