Job Description
**Who We Are** PaintScout is a Calgary\-based software company helping painting contractors run their businesses, from estimating and proposals to production and payments. We’re a team of 30, growing fast, and intentional about how we build. We have a simple filter for cultural fit: *Could we see you joining us on a trip to Mexico?* It’s our way of asking whether someone is not only talented, but also someone we genuinely want to spend time with as we build something real. So far, it’s worked. This role is about making sure it keeps working as we scale. **The Role** This is PaintScout’s first dedicated People hire. The people function here is yours to shape. We have a strong team and a clear direction; what we don't have yet is the system around it. That's the opportunity. This is not a role for someone who wants to manage a steady\-state HR operation. It’s a role for someone who has done this before at a similar stage, liked it, and wants to do it again. You’ll work directly with Jon (CEO) and the leadership team, own the full people function, and build the systems that will support us going from 30 to XX. The near\-term priority is talent acquisition. We have active hiring across multiple departments but are missing the formalized infrastructure to support it. Getting that machine built and running is job one. **What You’ll Own** **Talent Acquisition — Immediate Priority** * Own full\-cycle recruiting across all departments — not just supporting leaders, but running the process end\-to\-end * Evaluate, select, and implement an ATS (we don’t have one yet — this is yours to own) * Build sourcing strategy beyond inbound: we need outbound capability * Define role profiles, interview processes, and scorecards with hiring managers * Own candidate experience from first contact through day one **People Operations** * Build the HR infrastructure from scratch: policies, onboarding, offboarding, documentation * Develop compensation bands and a framework for how we make pay decisions * Implement and manage HR tooling (HRIS or equivalent) * Own employee relations and HR compliance (Alberta employment standards) * Design and run performance review cycles * Support benefits administration and act as the employee resource for HR questions **Leadership \& Manager Support** * Coach and support managers through people situations — performance, conflict, setting expectations * Help leadership build healthy team dynamics as the company grows * Contribute to org design thinking as we add headcount and new functions **What This Role Is NOT** * A coordinator role. * A policy\-first compliance job. We care about getting things right, but this role leads with judgment, not bureaucracy. * A role where you can't wait for things to come to you. You’ll need to go find problems before they find us. * A role with a team under you on day one. You’re the function. Support may come as we grow, but you’re starting solo. **Your First 90 Days** **First 30 Days — Learn and Assess** Understand the team, the culture, the hiring pipeline, and the gaps. Talk to every leader. Build a clear picture of what exists, what’s missing, and what’s on fire. **First 60 Days — Build the Foundation** Select and implement an ATS. Define the hiring process for current open roles. Draft core HR policies and an onboarding framework. Establish comp bands for active and upcoming roles. **First 90 Days — Running** Active roles are moving through a real recruiting process. New hires have a structured first\-30\-days experience. Leaders have a go\-to person for people questions. The bones of the people function exist and are documented, and policies support compliance requirements. **What We’re Looking For** * 6–10 years of progressive HR experience, with meaningful time in a generalist or people ops capacity at a startup or growth\-stage company * Experience building HR infrastructure in an environment where it didn’t exist before — you’ve been the first People hire, or close to it * Hands\-on full\-cycle recruiting experience, including ATS selection and implementation * Comfortable with Alberta employment law and HR compliance basics * Strong judgment in ambiguous situations; you don’t need a policy for every decision * Builder mentality — you’re energized by blank pages, not slowed down by them **What Success Looks Like at 6 Months** * We’re hiring faster, better, and with a consistent process * Every new hire has a clear, structured 30\-day experience * Leaders have a trusted resource for people questions and challenges * We have a comp framework we can defend and explain * The people function is documented, visible, and running **About PaintScout** PaintScout helps painting contractors all over the world estimate, sell, and run jobs — in a way that matches how painting businesses actually work.
